CANCELLATION TERMS

Cancelling Your Tour Place

If you wish or need to cancel your booking, you must notify FreeSpirit Adventure Tours as soon as possible.

Where a cancellation is made less than 8 weeks before the Tour Start Date, we are likely to have already incurred costs relating to accommodation, permits, transport, support services and tour preparation. Cancellation charges will therefore apply to your Deposit Payment.

If we have already received your Final Payment at the time of cancellation, cancellation charges will only be applied to the Deposit Payment. Your Final Payment will be refunded.

In all cases of cancellation, the Motorcycle Security Deposit (MSD) will be refunded in full.


Cancellation Charges

The following cancellation charges apply to the Tour Deposit Payment:

Less than 4 weeks100% of Deposit Payment

Cancellation charges apply only to the Deposit Payment.

Any Final Payment received will be refunded.

The Motorcycle Security Deposit will be refunded in full.


Motorcycle Security Deposit

The Motorcycle Security Deposit (MSD) is fully refundable in the event of cancellation prior to the Tour commencing.

However, if a Rider leaves or is dismissed from a Tour after it has commenced, the Motorcycle Security Deposit will not be refunded.


“No Show”

No refund will be payable if you fail to arrive for your Tour.

If you believe you may be delayed, please contact us as soon as possible. Where practical and safe to do so, we may attempt to arrange a rendezvous further along the route.

We strongly recommend arriving at least one day before the Tour Start Date.

For Tibet Tours, Tourist Permits are generally issued only on Mondays and Fridays. Riders joining Tibet Tours should ideally plan to arrive on a Sunday or Thursday.

No refund will be payable where a participant voluntarily leaves, or is dismissed from, a Tour after it has commenced.


If We Cannot Run Your Tour

If FreeSpirit Adventure Tours is unable to operate a Tour due to unforeseen circumstances beyond our control — including, but not limited to, civil unrest, political restrictions, natural disasters, severe weather, landslides or border closures — we will refund all payments received in full.

We will inform you as soon as reasonably possible if we become aware that a Tour cannot proceed.

For Tibet Tours, where entry into Tibet becomes impossible, we may offer Riders or Groups alternative touring options within Nepal.


Route and Accommodation Changes

While significant changes are uncommon, some arrangements must be made several months in advance and circumstances beyond our control can occasionally require alterations to a Tour.

We reserve the right to make reasonable changes to routes, itineraries, accommodation, stop-overs or schedules where necessary.

Natural disasters, landslides, flooding, snowfall, road closures, civil disturbance or political events may require substantial route or accommodation changes during a Tour.

Wherever reasonably possible, we will attempt to provide suitable alternatives.
